Another follow up to the golf seminar we attended recently. One of the items raised by the group (these were mostly NOT CPS customers - YET) was the ability (or more precisely the lack thereof), to track Rental and Demo clubs. Since the few CPS customers that were on hand are mostly using our 5.2 product, I am going to show you how to easily and accurately track those demo clubs and rental sets in that version.
1) Turn on the Track Rental Option. Go to Options, Sales2 Tab and set "Track Rental Equipment" to YES.
2) Setup a Rental Club Item. You can setup one product for all your rental clubs and sets or you can setup one product for each. For the purpose of this lesson, I am going to setup one product only. Using this method you want to uniquely tag each demo club and rental set with some identifier we will call Tag Number. In simplified terms, put a sticker on that Ping putter and write PP-01 on it with a sharpie.
In your inventory create a product like I have done below and then Click the Options button. Note that for Demo Club you probably do not want to set a price. For Rental Sets, if you charge for them, put in the Rental Fee for the Retail Price.
In the case of Sets and Clubs, setup a product for Rental Sets separately so you can put the price in. While not required it will make it easier for the cashier.


That is it for the setup. Now lets see what happens when a customer takes out a demo club.
3) From the Sale screen, if this is a current member select them on the Sale screen and then in the items pick the DC product as follows:

Notice that since you selected a Rental item, there is a new button on the bottom of the screen called Rentals.
4) Click that button. This will open the Rental Tracking form. Note that since this is already a current member the top of the screen will already be filled in. If this was sold to "A Cash Account", then you will want to enter as much data as you need to track the guy down. To make it simple, you can just scan the players drivers license (this will fill out the name and address info) and get a credit card from them.
5) Then enter in the Tag number (remember the sticker and the sharpie in step 1?). The Time-Out will be set for you.

6) Close this screen and Finalize that sale (obviously you can add other products like green fee, cart, etc to the sale).
7) Eventually you hope this club makes its way back into the shop. When it does, from any screen in PSK, click the GOTO menu item at the top of the screen and select "Rentals" from the list.
8) Find the guy that is turning in the club and Clock the club back in by clicking on the Time-In Click as seen below.

That's the tracking process.
One more thing to look at.
9) Go To Reports
Go To the Misc. Tab and select the Rentals report. This will give you some report options:

10) Notice that Fred did not return his club. You can then go back to Rentals, look up the details, see that he still has the Nike Driver with tag ND-07 and take appropriate action (i.e. make sure the club is still out, call Mr. Flintstone, charge him for the club, etc.).
There is an alternate way to do all this. Simply sell the rental club to the customer and instead of Finalize, click Open Tab. When he returns the club, Get the Tab and then Void the sale. Both methods are effective, the one above gives you a little more detailed tracking and is good for those clubs with 100 rental sets to manage in addition to demo clubs.
